Keep a list of people. Write one message. The app sends it to everyone on the list from your own WhatsApp number, and tells you what happened to each one. Every screen, in order.
Set the app up
Four short questions, once. The app opens on a language picker, shows five intro slides you can skip, and asks you to sign in with Google or with an email address. Then it shows a QR code: on your phone, open WhatsApp ▸ Linked devices ▸ Link a device and scan it, exactly as you would for WhatsApp Web. Your number stays yours and WhatsApp keeps working as before.

Good to know
- Nine cards, four tabs
The Home screen is a grid of nine cards, and the bar at the bottom has four tabs — Home, Commerce, Reports and Config. That is all the navigation there is. Every card belongs to one tab, and opening it lights that tab up.
- One name, two places
The card says WhatsApp Bulk Campaign; the screen it opens is titled WhatsApp Automation. Same thing.
- Keep the link
Do not remove the app from Linked devices in WhatsApp unless you mean to. If the link goes, the app asks for a new QR code before it can send again — but your lists, reports and settings are untouched.
Build a list of people
An audience group is a named list of people, and you send to a group rather than to individuals — so this is the first thing to make. Open Audience Groups, tap Create audience group, and pick where the people come from: your phone contacts, a CSV file, an Excel file, or numbers you type in. You can add more to the same list later, from a different place.

Good to know
- Two things called "group"
An audience group is your own list, lives in this app, and gives each person a separate private message. A WhatsApp group is a real group chat, lives in WhatsApp, and every member sees the message and each other. You can copy the members of one into the other.
- The import asks rather than guesses
Five questions: does the file already carry a country code, is the first row titles, which column is the name and which the number, which extra columns to keep, and a review. Question 1 matters most — answering it wrong is what turns local numbers into a different country.
- Details and tags follow the person
A birthday, a plan, a renewal date kept from your spreadsheet shows on that person's card, can be dropped into a message, and turns up in Upcomings when the day comes round. Tag somebody vip and they are vip in every list they appear in — then Segments builds a new list from that tag.
Work with WhatsApp groups
Two jobs live here, and they are opposites. Home ▸ WhatsApp Groups — the screen itself is titled Group Management — lists every group your number belongs to. Open one and you can take the members out: tick the people you want, tap Save to audience group, and they become an ordinary list you send a normal campaign to, one private message each. This is the screen people mean by the group extractor. The other job, Audience Groups ▸ Send to groups, does the reverse: it posts one message into the group chats themselves.

Good to know
- Three ways out, none of them send
The same ticked people can go to Save to audience group, Export .vcf (added to your phone's address book) or Export to Excel (a spreadsheet you can edit and import back later). Nothing is sent by any of them. Use the spreadsheet route when you want to add birthdays or other details before importing.
- What you cannot get, and why
Two limits come from WhatsApp, not the app. Hidden members: their number is never released, so they cannot be added and are not counted in what you save — the screen says how many. Unnamed members: WhatsApp only supplies a name for people it has told your phone about, so the rest arrive as a number, which still sends perfectly. Names fill in on their own once somebody writes to you.
- A group message is public
Everyone in the group sees the message, and sees that you sent it to the group. Group members never agreed to hear from you individually — so use Send to groups for groups that exist for announcements, and extract the members instead when the message is really meant for one person. Create campaign sends nothing by itself: it builds a campaign aimed at those groups and opens it for you to write.
Send a campaign
A campaign is one message going to one list, in four steps: who it goes to, what you are sending, an attachment and the opt-out line, then a preview of the real message with Schedule and Run beneath it. Next is never greyed out — if something is missing the app writes the reason above the button instead of leaving you to guess. Switch step 2 from Message to Poll to ask a question with options instead; a poll has three steps, because it can carry neither an attachment nor an appended line.

Everything else in the app hangs off this loop. Each step is its own screen, and nothing is sent until you confirm the last one.

Good to know
- Always tap the chip
The Personalize chips write a placeholder correctly. Typing one by hand is easy to misspell, and a misspelled placeholder simply arrives empty — with no warning, in a message already sent. Add variation lets you write the same message two, three or four ways so a few hundred people do not all get identical text.
- One campaign at a time
The app runs one at a time on purpose. If a new campaign is refused, an old one is still running, paused or stuck, and the card will offer to stop it. Keep the app open while a run is going: if your phone stops it in the background the card says Interrupted, and Resume carries on from where it stopped.
- Starting again sends to everybody again
A new run messages the whole list, including the people it reached before. To chase only the people who did not answer, use Follow up on the report instead.
Read the results
Two ways to look at the same history. Campaign Reports answers "how did that send go" — one card per run, newest first, with sent, delivered, replied and failed. Open one to see every recipient and what happened to their message. People answers "who actually talks to us", and one person's screen is their whole timeline: every campaign, every reply, and your own note.

Good to know
- Sent is not delivered, and not a failure
Sent means WhatsApp took the message and has not confirmed delivery yet. Failed usually means the number is not on WhatsApp or has no country code. Skipped means the app chose not to send — they unsubscribed, or they are on your blocklist.
- Follow up beats running it again
A follow-up goes to the people this run reached who have not written back, and the list is worked out at the moment it sends — somebody who replies in between is dropped from it automatically.
- "No replies" means "none recorded"
Replies are captured only while the app is open. On an older contact, read a zero as "we were not watching", not as proof they stayed silent.
Handle replies
Sending is half of it. Replies to your campaigns land in the app's own Inbox, where you can mark a conversation Open, Pending or Closed so a second person knows what still needs answering. Flow Bots answers the common questions for you: a flow is a set of blocks — a trigger, a message, a question, a branch, a hand-over — joined by lines on a canvas.

If nothing matches, nothing is sent — the message simply waits for you in the Inbox. Flows answer only while the app is open.

Good to know
- Start from a template
Seven ready-made flows — a greeting menu, an after-hours reply, a price enquiry, lead capture, order status, appointment requests, out-of-office — arrive fully written in your language. Several collect an answer and then hand the conversation to you, which is usually the right shape.
- Two switches, and the app has to be open
A flow only answers when the master switch and its own switch are both on, and only while the app is running. If you need replies around the clock, the desktop version is the one that keeps going.
- When two robots start talking
If the person you are answering also has an automatic responder, the two can reply to each other endlessly. The app spots that and pauses just that chat; it stays paused until you resume it, because the other side's responder is usually still on.
Customers and catalogue
The parts of the app about the relationship rather than the send. Upcomings groups every date you have saved against a person — a birthday, a renewal, a delivery due — by day. Products is a catalogue kept on this phone. WhatsApp labels are copied in from WhatsApp Business so you can build a list from one. The Commerce tab is separate from Home on purpose: Home is for runs you start, Commerce is for things you keep.

Good to know
- A list you check, not an alarm
The app never sends a birthday message by itself. Tap the send button on a row and WhatsApp opens with a message already written, which you can edit first. Open Upcomings when you start the day.
- A product needs a photo
Tapping send on a product opens the campaign editor with the picture attached and the details already written into the message. A product with no photo cannot be sent this way — the message is built around the picture.
- A label is not a tag
Tags are yours and live only in this app; labels come from WhatsApp Business and are only copied here. They are kept apart so removing one never fights the other. On a freshly linked number no labels show until WhatsApp first tells the app about one.
Keep your number safe
A number that sends too much, too fast, to people who did not ask, gets restricted. Five things protect yours, and all five are on by default: warm-up for a newly linked number, pacing with a ceiling per hour and per day, sending hours so nothing goes out in the middle of the night, the opt-out that drops anyone who replies with your stop word, and a blocklist. Config ▸ Sending Safety is where you can change them, and Reset puts everything back.

A number that sends too much, too fast, to people who did not ask, gets restricted. All of this is on by default — you do not have to configure anything to be protected.

Good to know
- Raise these slowly, if at all
Every setting arrives on and set to a sensible value. Raise one thing a little, then watch for a few days. The cost of sending too fast is not a slow campaign — it is a number that stops working.
- What actually gets numbers restricted
Blocks and reports from recipients are what WhatsApp acts on fastest. Message people who gave you their number, keep the unsubscribe line on, honour every stop request, grow gradually, and write like a person. Do not buy a list, jump from a small send to a huge one, or add somebody back after they unsubscribed.
- Your stop word has to be listed
Unsubscribe data holds both the line added to your messages and the words watched for in a reply, ready in every language the app speaks. If you tell people to reply CANCEL, add CANCEL there — otherwise it is not recognised. Several wordings are kept and used in turn; %1$s is where your keyword goes.
Settings and your data
The Config tab holds seven cards: Settings, Sending Safety, Unsubscribe data, Unsubscribed, Quick replies, WhatsApp labels and Status. Settings itself is your account and plan, the app language, light or dark, and the country used to complete numbers saved without one. Status is a live check — is the number linked, is everything connected, what is left of today's allowance. Open it first when something is not working.

Good to know
- That country setting matters
A number stored as 82811 26956 with no country code is completed using it. Set it to yours before an import that carries local numbers.
- Back up before you restore
Back up my data writes a copy of your campaigns, contacts and history. Restoring replaces everything currently in the app and takes effect the next time it starts — so take a backup of what you have now first, even if you think you do not need it.
- Report a problem carries no message text
It prepares an email to support with the technical detail needed to diagnose a fault. You see exactly what it contains first: no phone numbers, no contact names, no message text, and nothing leaves until you press send in your own email app.
If something goes wrong
The common problems, why each happens, and what to do about it. If none of these fit, open Config ▸ Status and read what it reports, then use Talk to us on the Home screen or Report a problem in Settings — that one attaches the technical detail for you.
Good to know
- A campaign will not start
Another campaign is still running, paused or stuck — the app sends one at a time. Open WhatsApp Bulk Campaign and stop the old card. If it names a campaign you cannot find, it offers to stop that for you.
- A campaign says Interrupted
Your phone stopped the app in the background. Tap Resume and it carries on. Then allow the app to run in the background, both in Android settings and in your phone's own battery manager if it has one.
- Everything says failed
Almost always the numbers, not the app: no country code, or not on WhatsApp. Open the report, tap Failed and read them. If they all look like local numbers, import the file again and answer no to the country-code question.
- Replies are not arriving in the Inbox
Replies are captured only while the app is running. Keep it open during and after a campaign. Messages that arrived while it was closed stay in WhatsApp itself and do not appear here later.
- The import read the wrong column
The app guessed, and offers the guess for you to correct at question 3. Import again and set the name and number columns yourself, then delete the wrong list.
- The numbers got the wrong country
The file held local numbers and the app was told they already carried a country code. Import again, answer no at question 1, and pick your country.
- People show as numbers instead of names
WhatsApp has never told your phone that person's name and they are not in your address book. Nothing is broken — names fill in as people write to you. You can also import a sheet with a name column, or type one on the person's card.
- A flow is not replying
The master switch is off, that flow's own switch is off, the app is closed, or that chat was paused. Check both switches on Flow Bots, keep the app open, and look in Paused chats.
- One chat stopped getting automatic replies
The other side has an automatic responder too, and the app stopped the two answering each other forever. Open Flow Bots ▸ Paused chats and tap Resume — then answer that person yourself.
- The app asks for a QR code again
The link between the app and your number was removed, from WhatsApp's Linked devices or by WhatsApp itself. Scan the new code. Your lists, reports and settings are untouched.
- Somebody got the same message twice
A campaign was stopped part way and started again, and a new run goes to the whole list. Use Follow up on the report instead — it only goes to people who did not reply.
- Still stuck
Open Config ▸ Status and see what it reports. Then Talk to us on the Home screen, or Report a problem in Settings.
Words this app uses
The guide uses one word for one thing. Here is what each one means.
Good to know
- Audience group
Your own named list of people. You send to a list, not to individuals.
- WhatsApp group
A real group chat in WhatsApp. Not the same thing as an audience group.
- Campaign
One message going to one audience group. Each time you start it, that is a run, and each run gets its own report.
- Detail
An extra fact saved against a person — a birthday, a renewal date, a plan name. Details follow the person into every list.
- Tag
A word you attach to a person yourself, such as vip. Yours, and only in this app.
- WhatsApp label
A label from WhatsApp Business, copied into the app so you can build a list from it. Not a tag.
- Segment
A new audience group built from a tag, a label or a detail.
- Placeholder
A marker in your message that becomes each person's own value — their name, their number, their renewal date. Insert one by tapping a Personalize chip.
- Variation
A second, third or fourth way of writing the same message. Recipients get one of them.
- Follow-up
A later message to the people one run reached who did not write back.
- Opt-out (unsubscribe)
A reply containing your stop word. That person is dropped from every future campaign, in every list.
- Flow
An automatic reply, built from blocks. It answers while the app is open.
- Warm-up
The slow start a newly linked number gets, so it does not look like a machine on day one.
- Quick reply
A message you saved to reuse, in a campaign or in the Inbox.
